Fixed Assets

Equipment use, accounted for and depreciated day by day in NetSuite

NetSuite-native fixed assets

Shepherd converts equipment depreciation into controlled NetSuite accounting entries. Every calculation is recorded, every batch can be reviewed before posting, and the journal lands in NetSuite, not in a side system.

Depreciate by calendar day or day on rent

Depreciate equipment on calendar days or on actual days on rent. Value and remaining useful days reduce daily, never below zero, and any missed days are caught up automatically on the next run.

Automated general ledger posting

Depreciation activity becomes a balanced NetSuite journal entry, weekly or monthly. Depreciation Expense is debited, Accumulated Depreciation is credited, and the journal links back to its Posting Batch.

Depreciation History: a complete audit trail

Every calculation is recorded in Depreciation History, so you can see exactly how an asset reached its current value. Reprocessing the same equipment and date updates the existing record instead of duplicating it.

  • See asset value before and after every calculation
  • Track useful-life changes as they happen
  • Follow rental and non-rental day counters
  • See the date, days processed, and previous processing date
  • Know the rental status and rental contract behind each figure
  • Read the calculation memo on every record
  • Trace each record to its equipment and CMMS setup
  • See the depreciation amount for each accounting window

Review and reconcile before anything is posted

Depreciation is grouped into weekly or monthly batches, each with its own total. Finance can review a batch, reconcile it, and only then turn it into a journal entry, so nothing reaches the ledger unchecked.

  • Preview each period’s totals before any journal entry exists
  • Reconcile the numbers first, then post
  • See at a glance whether a period is in progress, previewed, posted, empty, or failed
  • Know how many assets and source records sit behind each total
  • Find the cause on the batch and setup record when posting fails

Reliable exception management

Reruns are safe: Deterministic external IDs on History records and Journal Entries protect against duplicates, and failures are recorded as actionable diagnostics directly in NetSuite.

  • Catch up missed days automatically
  • Prevent duplicate History for the same equipment and date
  • Prevent duplicate postings when a period is rerun
  • Reuse the same batch for the same setup and period
  • Record actionable errors on the Posting Batch and Setup record
